Many people agree that great entertainment is the key to a great wedding, but to the majority of couples, organising the after ceremony entertainment comes a long way down the list of priorities and in many cases is almost considered as an afterthought.

But if you really want your wedding party to be as memorable as you’d hoped for, researching and booking your reception Entertainment as early as possible is vital.

There are a number of choices available such as live bands, mobile DJ or hire of a PA system with which to play your own music via an iPod or similar device. But all of these options may well need to be booked far in advance and so making a decision early and acting on it may well mean the difference between getting the reception you want or having to settle for a disappointing second choice.

Live bands are a popular choice and there’s nothing quite like a good covers band to really get the guests jiving on the dancefloor. But although a live band may be an attractive option it’s worth bearing in mind that quality wedding bands can be very expensive and may be booked up to a year in advance so you need to start the search almost as soon as you have booked the venue. When deciding on a band, always ask for any references or testimonials from previous customers that they may have. There’s no better judge of a bands quality than the reaction of previous audiences.

DJ’s and discos may prove to be considerably cheaper than live bands and will more than likely not need to be booked so far in advance. Most mobile DJ’s will have a comprehensive collection of music at their disposal so you will be able to request any songs you particularly want playing in advance, and be assured that they sound as you expected. However, mobile DJ’s may not engage your guests as successfully as a quality live band and many people have the stereotypical image of the mobile disco that puts them off the idea.

Another option that more and more people are now considering is organising their own music as the evening entertainment. Hiring a PA system and plugging in your own iPod or laptop gives people the chance to play the music they want to hear rather than listening to a DJ, as well as saving them considerable sums of money. PA systems can also be very versatile. Speeches and tributes to the bride and groom can also be channelled through a PA so only one system is needed for all entertainment and speech requirements. One thing that you must bear in mind if considering providing your own music via a hired PA system is to ensure that you play something everyone will want to hear and ultimately dance to. Media will argue when writers or protestors stand up and state what harm entertainment and media causes in love and relationships. While the source can argue the evidence and patterns trailing behind us proves them liars.

Entertainment today enforces sexuality and violence while breaking down the rules of honesty, trust, faithfulness, loyalty, self-control, et cetera. Couples today sit in front of television for hours, or listen to all types of music for hours instead of joining in family activities. Children today consume their time playing video games, listening to harmful music, and engaging in viewing of harmful television programs. While the media says we all have our own choices, it is difficult to make good choices when you turn on the television and nudity, violence, profanity, and other inhumane activities are going on, on every station turned.

Nowadays, television is beyond open. Many people will use the term open mind to get their way. Open-minded people will not engage in harmful viewing, behaviors, actions, sound, et cetera, rather this types of minds will utilize the tools that prevent them harm.

When couples spend hours watching harmful movies, listening to painful sounds, or else engaging in hours of video play they are not taking the time to live, learn and love.

Entertainment enforces behavior. If the entertainment is good then good results will come of the activity, or engaging. On the other hand, if entertainment is bad then harm will result. It may not appear obvious at the onset, but over the course of the relationship, the traces of harm will creep in and out of the cracks.

Examples of harm caused by inappropriate entertainment, which lead to the breakdown in relationships is visual in the following illustration: *A young mother joined in a relationship after giving birth to another child. Overtime the children became aggressive and acting out of violence each time rules were set in the household. The father inconsiderate and lacking the ability to love rarely helped the mother with discipline and control of the children’s behaviors, rather he enforced the wrongful conduct. Over time the woman after dishing out years of long-suffering, love, hope, et cetera fell into the chArts of divorce when the husband committed adultery. The husband sold drugs, administered drugs, and solicited prostitution while encouraging the children to do the same. The children later appeared in court for criminal persecution, as well the husband landed in court facing charges against him. The family fell apart by divorce, lack of communication, inactive family participation, and harmful entertainment. While each family member came from broken homes, the mother had the wisdom (if only the others would listen) to make a productive relationship, while demonstrating true love.

As you can see, what you feed the mind comes out over time. The mind controls the body, including wellness, productivity, performance, et cetera. When the mind is fed garbage, it will gradually show in behaviors, case studies, patterns, habits, et cetera.

The term what you eat is who you, are, is not a joke. Rather it is a statement backed with evidence and truth. Likewise, what you put in the mind enforces what will come out over time. If you are spending hours on a couch watching movies, thus you are stating to your mate that the person is not interesting enough to move you to share time together. What is your mate doing that makes you feel this way? Sometimes a mate does nothing to enforce this negative reaction from the partner; rather it is their way of thinking, and their level of standards. When couples join to make love, they are joining to stand together through thickness and thin, better or worse, sickness and health until death says their love is no more.

Entertainment is America’s big thing. But entertainment in America encompasses much more then mere acting, song, and dance. It includes sports, television news, advertising—in short, anything that attracts a huge number of spectators. And what has made this huge number of spectators possible is mass media, something none of the entertainers had a role in creating. It has also driven down the level of industry and honesty.

Advertising almost always violates the ninth Commandment. The use of illegal performance enhancing drugs is widespread in Sports. School officials routinely allow for the altering of a student athlete’s academic record so that s/he can continue to play a game. Our colleges and universities give “scholarships” to non-scholars but not to scholars. Many popular singing groups display little musical knowledge or talent. Dramatic performances depict the most immoral behavior and often even glorify it, even when it’s depicted in entirely unbelievable ways. People who pass themselves off as journalists inundate us with “human interest” pieces that neither inform us of nor teach us anything. Watch CNN all day and then write down what you learned that you didn’t know beforehand. What were once legitimate news programs now fill our minds with stories about criminals. Dateline NBC and 48-Hours are prime examples. Our so called “reality shows” have nothing to do with reality, and what used to be called amateur hours have now become pre-professional tryouts. Young Americans don’t want to be scientists, mathematicians, or engineers; they want to be STARS even when they exhibit little talent as is amply demonstrated on American Idol and So You Think You Can Dance. Worse, the untalented vilify the judges when they are rejected. Yet hoards of spectators watch mesmerized, often after having paid a hefty fee. Yet none of this activity produces anything having utility, value in use; these activities are all parasitical. Marx thought that religion was the opium of the people. Not any more. Entertainment is. Mass media has made the country into a gigantic Roman Coliseum, where keeping the people entertained is a way of denying them the knowledge of what is being done to them. And the mayhem and murder that people watch every day is akin to the murdering of gladiators in Ancient Rome.

This devotion to entertainment has enormous cultural and economic consequences.

A culture is defined by its predominant activities. The Roman Empire, for example, is characterized by an autocratic form of government, large territorial holdings acquired by war and subjugation, and violence. Those characteristics were adopted by the subjugated peoples, especially those in Western Europe. Significantly, they were not adopted by the Scandinavians who were never subjugated by the Romans. And Western European culture, of which the United States is a part, has historically been afflicted by war and violence of gigantic proportions, not so much so Scandinavia. Given the extent of criminality in America, the huge war making machine called the military-industrial complex, the number of wars America has been involved in just since the end of the Second World War, and the vast amount of entertainment that glorifies violence, American culture is clearly characterized by Roman brutality.

But the economic consequences are huge too. Every dollar spent on weapons of war, spent trying to control criminal activity, spent on entertainment overkill, spent on any parasitic activity is a dollar not spent on providing people with the necessities of life and the luxuries that produce a good life. A professional football team, for instance, is a gigantic money machine, but it employs relatively few people in comparison to a durable goods manufacturing company. And I often wonder what America’s GNP would be if all of the parasitic “goods and services” were excluded from the calculation. There is, after all, a vast difference between an economic activity that produces substantial, utilizable products and activities that do not. Although man may not live by bread alone, more bread and less play yield better lives than more play and less bread. America needs what is called “a paradigm shift.” Americans need to rethink their cultural values.

“Initial fears that people have with planning the music and entertainment for their event are reasonable, as it is an integral part of the event and can even be part of the main focus. There are many factors to consider when planning your entertainment, not only whether the act you are booking for your event will suitably entertain your guests, or fit within your budget or them;, but you also need to consider whether they will be reliable and professional. In the worst case scenario we have heard of cases where artists have failed to turn up on time or cancelled without giving enough time to book another act in their place. Even if they do arrive, how do you know that they are going to be as good as their demo or showreel? And this is all on top of the rest of the event planning process of organizing catering, a venue or conference facility, florists, guest invitations, transportation, accommodation… need I go on? It can be a very daunting task.”

With this in mind, here are the key elements to think about to help get you started:

The Venue

When booking the venue it is important to check that they have the appropriate entertainment licence and the conditions of their licence including the type of entertainment they are allowed (some venues are not permitted to have amplified music), finishing/get out times, performance area size/space restrictions, if they have any noise restrictions (such as sound limiters), access times for the band/artist, power supply etc.

If you are considering a speciality act that uses fire or pyrotechnics, you also need to make sure that this is permitted in the venue.

These points are always good to know early on as this may dictate the kind of entertainment you can look for. For example, some venues have sound limiters that cut out sound automatically when it goes over a certain volume, so if you have booked a band, this can damage their equipment and most importantly can disrupt the whole evening.

However, all is not lost, even with a limitation on sound, there are still many acts that can be employed such as acoustic artists, but knowing this in advance will help you narrrow your search or review your venue.

Band Hunting

So you know have an idea of the kind of act your venue will accommodate, lets go and look for your entertainment.

Armed with the information acquired from the venue you can now approach the artists, but where do you look? Well, there are a few options available to you:

Option 1 – Search the internet. You can do a search for a certain type of artist/ band, listen to their website demos or watch their showreel and contact the artist directly. Although many artists have their own website, a great website does not necessarily mean a great artist. So not only can this method be quite simply mind numbing and time consuming, it is also a bit of a lottery if you are booking an artist you have never heard of.

Option 2 – Go on recommendation. This can narrow down your search quite fast, but do remember that colleagues may not have the same tastes and what one person may think is great might not be ideal for the guests attending your event.

Option 3 – Go to an agent. There are lots of agencies out there, (I should know, I am own one of them.) Obviously there is going to be a fee increase for this service, (normally between 15- 20 % ) but, if the agency is a reputable one they should be able to earn their commission by verifying the acts and their ability, negotiating their fee to meet your budget, contracting the artist (more on that later) and communicating to the artist exactly what you need.

A note on professionalism. Many people place an importance on the performance but it is important not to overlook the other elements involved with booking an act/band for example, the way they conduct themselves both on and off stage, their dress code and also making sure they turn up in plenty of time etc.

Things to ask the band/act

Whether you are going through an agent or directly to the artist, the questions are still the same.

Here is important information you need to know about the artist:

Availability:

You must first check that the artist is available on the date of your event and that they are happy to travel to the event location.

How long will the artist perform for:

Performance times will vary depending on the kind of act you are booking and the event you are holding.

There are so many different possibilities depending on your requirements, but to give you an example, a typical live performance by a function band would be something like the following:

2 x 1 hour live sets (I like to include CD music in between and up to 45 mins after the performance)

Or

3 x 45 mins live sets (again with the bands would be quite happy to provide CD music in the price)

Act/Band styles

Some artists are available as a ‘walkabout’ act as well as a stage act and some bands can perform as an acoustic duo or trio, as well as a full party band.

If you have a larger event then you may wish to have a reception performer when the guests arrive or are eating lunch/dinner. This could be a walkabout act, close-up magician or acoustic duo or trio band.

We have supplied many events with walkabout Mexican Mariachi bands, acoustic Hawaiian trio band, close-up magicians, human statues and Gypsy jazz musicians. It’s an upbeat and fun start to the evening before the main act, as well as a brilliant ice-breaker if your guests don’t know each other.

The latter part of the event can then incorporate a stage show or band for dancing, either using an artist from earlier or a different artist altogether.

Repertoire:

If you are booking a band, you should be able to get a sample set list from the band. I Generally advise my clients to let the artist gauge the event as to what songs are played but within your initial enquiries it gives you a great idea of what they can do.

Fees:

Once the artist has all your requirements, they will then be able to quote you formally.

The fee you are quoted will be dependent on the location of the event, the performance you require, what day of the week your event is being held and the time of year your event is being held.

Barter!!

Don’t be afraid to barter, most artists/agents are happy to negotiate their fee, as every event is different.

The Booking

Let us assume you have narrowed down a selection of acts, what next?

If you have decided on the artist you wish to book, but you need to get the go ahead from your MD or person paying for the event, it would be recommended to ask the band to hold that date for you.

Most artists will be happy to pencil in a date for you if you require time to make a firm decision about booking. This ensures that they won’t take another booking while you’re in the decision making process.

Deposits and contracts

Any reputable band or artist will insist on a contract to be signed by all parties once you confirm your booking. This should include all of the information that both sides have agreed to.

More often than not, the contract will also include a requirement for you, as the client, to provide refreshments and lockable changing facilities/dressing room for the artist during their time spent at your event.

You may also be sent an artist rider with the contract which is a list of artist requirements that you will be expected to provide as a courtesy.

Things to confirm within the contract:

Artist Name (making sure that the performers are the same ones as the demo/showreel!)

Location for the artist to appear

Date of performance

Time for arrival and set up of the artist

Performance times

Fee and payment terms (i.e deposits and payment due dates)

Artist contact number

Cancellation terms

Any special requirements regarding the performance/venue/guests or artist rider

As soon as you have signed and returned the contract and paid your deposit, your booking is confirmed.

The artist should be able to contact you a week before the performance to confirm any changes that you might have and you can rest assured that you have done all you can to make your event a night to remember.
